Terms and conditions
1. General information:
1.1. The contract is valid with the acceptance of the “Terms and conditions” and the money transfer for the application fee.
 1.2. “United Friends of India” is not taking responsibility for any third parties, which are involved in the money transfer of the volunteer (like any kind of banks and online-payment-softwares (e.g. Paypal)).
1.3. The volunteerer has to avouch his contract liabilities and for the volunteers who are traveling with him, if he/she is applying for them.
 2. Provided services:
2.1. Pickup and meeting at the airport
On arrival at Delhi airport the volunteer will meet one of the employees/representatives of “United Friends of India” who will take the volunteer to a hotel for an overnight stay. The hotel room is provided and paid by “United Friends of India” if the volunteer is arriving between 10a.m. (Monday) and 6a.m. of the following day (Tuesday). Is the volunteer arriving beyond this scheduled time, he/she has to pay for the additional stay or stays on his/her own. On the following day the employee/representative of “United Friends of India” is accompanying the volunteer from Delhi to Agra to visit the “TajMahal” (public transportation). After the “TajMahal” visit the employee/representative will accompany the volunteer to the project location (public transport is used).
2.2. Accomodation and meals
“United Friends of India” is offering (for Indian standards) comfortable accommodations. The volunteer can reach his project work by foot or by car. The volunteer is living with a local Indian family. One room will be provided. This room can be shared with other volunteers (twin/triple sharing basis). The host family is offering meals three times a day (breakfast, lunch, dinner). If the volunteer expresses his/her wish to cook on his/her own, he/she can do that.
2.3. Orientation day
The day after the arrival at the project location, “United Friends of India” is organizing an “Orientation day”.
2.4. Transportation
To reach the project location public transport is used. The transport to the project work is variable. It depends on the certain project work. If the volunteer work is in the nearby surroundings, the volunteer will go by foot to reach his/her work placement. If this is not the case and the work placement is more far away, “United Friends of India” is providing and paying for the transport of the volunteer to and from the work placement.
2.5. Excursions
The offered excursions which are organized from “United Friends of India” are included in the program price. If the volunteer has the wish not to participate in the excursions, he/she can cancel the excursion. This can influence the program price. This depends on the point in time when the volunteer gave the written information to “United Friends of India”. Also the volunteer has the option to make self planned trips and excursions on his/her own. These trips/excursions will not be organized or paid by “United Friends of India”.
2.6. Safety
“United Friends of India” is striving for secure accommodations and safe transportations.
2.7. Customized programms
“United Friends of India” is also offering customized programs or program parts. For those services the volunteer has to contact “United Friends of India” with the required details before booking and applying for the program.
 2.8. “United Friends of India” is not guaranteeing for the listed and offered services. Changes as well as unexpected incidents may occur and “United Friends of India” is not reliable for that.
3. Payment
 
3.1. With applying/contract conclusion the volunteer has to pay the application fee of 100 Euro which are credited on the program price.
3.2. The volunteer has to pay the rest of the amount of the program price 40 days before program start.
3.3. The additional program papers will be send via e-mail to the volunteer after receiving and processing on the application.
3.4. If the volunteer is not paying the rest of the amount of the program fee in the appointed time period, “United Friends of India” will keep the application fee of 100 Euro and the program is deemed to be cancelled by the volunteer.
3.5. If under any circumstances one of the parties is canceling the program, “United Friends of India” will make a payment of the applicable refundable amount to the client within 100 days of confirmation of the cancellation.
4. Cancelation through the volunteer before program start
 
4.1. The volunteer can cancel his/her program any time before the program starting date. The volunteer has to inform and explain to “United Friends of India” immediately via e-mail.
 4.2. “United Friends of India” is organizing and planning the costs for the organization and is making everything ready for the stay of the volunteer. In this process already costs for the organization are arising.If the volunteer is cancelling his/her booked program the refundable amount will be as following:
4.2.1. 30 or more days before program staring date:
The program price (except for the application fee of 100 Euro) will be refundable.
4.2.2. Less than 30 days before program the starting date:
70% of the program price will be refundable. Those 70% are not containing the application fee. The application fee of 100 Euros will not be refundable.
4.3. “United Friends of India” is recommending the conclusion of a travelcancelationexpensesinsurance in case of accident or sickness.
5. Cancelation through the volunteer after program start
 
5.1. The volunteer can cancel his/her program any time after the program starting date. The volunteer has to inform and explain to “United Friends of India” immediately via e-mail.
5.2. If the volunteer is canceling his/her program after the program starting date, no money will be refunded to the volunteer, as already plans and organization for his/her stay were made.
6. Not claimed and unused services
 
6.1. If the volunteer is not claiming the whole duration of the program stay or wants to reduce his stay, no amount of money will be refunded to the volunteer, as already plans and organization for his/her stay were made.
 
6.2. If the volunteer is taking a break or a time-out of his/her program no amount of money will refunded to the volunteer.
 
6.3. If the volunteer is not appearing on the appointed airport or locality, he/she has to inform “United Friends of India” about this fact. If the volunteer is not doing this within 7 days after program start, the program is deemed to be canceled by the volunteer. The program price as well as the application fees will not get refunded.
 
6.4. If it is not possible for the volunteer to be on the program start date at the appointed airport/locality and is informing “United Friends of India” before the program start or within 7 days, his/her program will still be reserved, but the ending date will still be the same. The program ending date will not be changed to a later date.
 
 
 
6.5. If the volunteer is not using or claiming the offered and booked services without informing “United Friends of India” before program start or before applying, no amount of money will be refundable.
 
7. Cancelation through “United Friends of India” before program start:
 
7.1. If it will be the case that“United Friends of India” is canceling the program of the volunteer (because of unforeseen circumstances), the paid amount of money will get transferred back to the volunteer.
8. Rebooking
 
8.1. If the volunteer has the wish to rebook or to change his/her volunteer work, this will be generally possible before and during his/her stay. The volunteer can only change to other volunteer work which is offered at the program location. A location change because of the change of the volunteer work is not possible.
8.2. If the volunteer wants to change the program location, it is only possible, if he/she is contacting and informing “United Friends of India” 30 days before program starting date. If the volunteer is informing “United Friends of India” less than 30 days before starting date, he/she has to cancel the unwanted program and re-apply for the new program.
8.3. If the volunteer is contacting “United Friends of india” about a time change (change of starting and end date), he/she has to do that at least 30 days before program starting date. If the volunteer is not doing that within more than 30 days before program starting date, the volunteer has to re-apply for the program (he/she has to pay the application fees again, but not the program price).
9. Cancelation caused by behavior related reasons
 
9.1. “United Friends of India” can cancel the contract any time and without maintaining any time limit if the cancelation is justifyied due to following reasons:
- The volunteer is behaving contrary to contract.
- The volunteer is behaving unconstitutional and does not stick to the laws and rules of the locality/country and is involved into illiegal/criminal activities.
- The volunteer is not following the rules of the organization and statutory/lawful regulations (regarding drugs, alcohol, the driving of vehicles).
- The volunteer gave or gives wrong and incomplete information (e.g. personal details of the volunteer, health condition etc.) to “United Friends of India”. About any changes the volunteer has to inform “United Friends of India” immediately.
- The volunteer is behaving not acceptable or is threatening/scaring other persons.
- The volunteer is starting a sexual relationship with a member of the host family/community.
- The volunteer is spreading negative propaganda about “United Friends of India”.
9.2. The local representatives and employees of “United Friends of India” are authorized to declare dissuasion/warnings in the name of “United Friends of India” and to cancel the contract with the volunteer.
9.3. If the contract will be cancelled by “United Friends of India” due to above stated reasons, the volunteer has no right to claim for refund of the program price.
10. Use of photos and feedbacks
10.1. “United Friends of India” is allowed to use given/allocated photos and feedbacks of the volunteer. The photos/feedbacks can reach or can be send to “United Friends of India”in any kind of form (e-mail, post etc.).
10.2. The photos and/or the feedbacks can be used on the website of “United Friends of India” due to marketing and promotion reasons.
10.3. Also “United Friends of India” is allowed to use photos/feedbacks for brochures, e-mails, marketing purposes and presentations.
10.4. The photos/feedbacks can also be used on other websites, which are owned by “United Friends of India”.
10.5. The consciously and intended passing of photos from “United Friends of India” to any third partiesis is not supported.If a third party is giving and providing photos/feedbacks, “United Friends of India” can use them in materials on the website or in other form.
10.6. If the volunteer is forbidding the use of the photos/feedbacks after a certain time, the volunteer has to write and inform “United Friends of India”. If this is not the case, “United Friends of India” is still allowed to use these photos/feedbacks.
 
11. Passport, visa and health regulations
11.1. The volunteer is responsible for obtaining and the entrainment of required travel documents and needed vaccination as well as the sticking to duty/foreign currency regulations. Disadvantages or damages which are caused of not following the regulations (e.g. cancelation/termination of the program) are debitable to the volunteer.
11.2. “United Friends of India” is not responsible for the timely issuance and approach of required visa through the diplomatic embassy/consulate.
 
12. Disclaimer
12.1. On the contractual relationship between the volunteer and “United Friends of India” only the Indian laws are applicable/implemented.”United Friends of India” is only incumbent upon the India legislation. This obtains the whole legal relationship/position. All claims/hearings are only taking place in front of the Indian court.
12.2. “United Friends of India” is not taking responsibility of its national or international partners, who might give and provide materials (photos, documents etc.) for the organization.
12.3. “United Friends of India” is strongly not taking any responsibility for third parties who are linking the website of “United Friends of India”. Also “United Friends of India” is not responsible for websites/organisations which are linked on the website of “United Friends of India”.
12.4. “United Friends of India” is not vouching under any circumstances for damages of the volunteer. This includes physical, mental, health related, material or other damages. The volunteer is traveling and working with “United Friends of India” on his own responsibility.
2.5. “United Friends of India” is not guaranteeing for the presence of other volunteers during the stay of one volunteer.
12.6. “United Friends of India” is not liable for the behavior of its employees. In the case of a claim against an employee, “United Friends of India” is not held accountable and cannot get sued for the behaviour of the employee.
12.7. “United Friends of India” is not guaranteeing for correctness of the listed information.
13. Other important information and details
 
13.1. The volunteer is obligated to inform the employees of “United Friends of India” as well as the organization (through mail), if any damages occur during their stay.
13.2.”United Friends of India” is not reliable for loss/damages/delay of the luggage of the volunteer through the airlines. “United Friends of India” is recommending to contact the responsible airline directly and immediately at the airport, if those cases occur.
13.3. If the operated and named airline of the volunteer is changing the time of arrival or departure, the volunteer has to inform “United Friends of India” immediately.If the volunteer is changing his/her flight or airline, he/she has to contact “United Friends of India” immediately after changing.
13.4. The volunteer has to inform “United Friends of India”, if he/she is not getting any program papers in a time period of 2 weeks after applying.
